Position Overview

We are Salish Elements, an Indigenousowned hydrogen company making reliable and regenerative hydrogen (rH2) fuel supply a reality in British Columbia. Our mission is to work with First Nations and become leaders in a global shift to green energy; advancing an equitable, regenerative economy that serves the lands, waters, and people. For the last 3 years, we have been developing our core market-offering, rH2, to displace diesel power and are now working toward construction of our first hydrogen production utility.

This role is ideal for a detail-oriented, multi-skilled professional who thrives in a dynamic environment, balancing executive support with organization, financial and HR responsibilities. The candidate should embody enthusiasm to implement processes based upon shared Coast Salish and company values, sustainability, and operational efficiency.

Key Responsibilities

1. Executive & Administrative Support (60%)

  • Manage executive calendars, meetings, and communications (internal/external).
  • Draft and edit presentations, reports, and proposals (e.g., investor decks, Indigenous partnership agreements).
  • Coordinate travel, events, and stakeholder engagements (including Indigenous community visits).

2. Financial & Accounting Support (10%)

  • Process invoices, expense reports, and reimbursements in coordination with the accounting team (using tools like QuickBooks, Expensify).
  • Assist with monthly bookkeeping, accounts payable/receivable, and budget tracking.
  • Work together with external accountants and support financial reporting.
  • Manage corporate credit cards and employee expenses

3. HR Coordination (20%)

  • Support onboarding/offboarding (prepare contracts, set up payroll, coordinate training).
  • Support the creation of policies and support governance
  • Maintain employee records (digital files, compliance documents).
  • Assist with benefits administration (enrollments, changes).
  • Act as a point of contact for HR inquiries (leave requests, policies).

4. Operational & Project Support (10%)

  • Track team timelines (hydrogen facility construction, partnerships).
  • Organize team meetings, agendas, and action items.
  • Assist with partnership events and liaison such as with indigenous communities and project ecosystem partners
  • Assist with some grant applications, regulatory filings, and reporting

Qualifications, Preferred Skills & Experience

Required:

  • 5+ years as an Executive Assistant with finance/HR exposure (or similar role).
  • Bachelor’s degree in business, economics or similar
  • Experience with:
    • Accounting software (QuickBooks, Xero) and expense management tools such as: Dext, Expensify, Concur.
    • HR processes (onboarding, payroll support, benefits).
    • Indigenous business protocols (preferred).
  • Proficiency in Microsoft Office, Google Workspace, and virtual collaboration tools.
  • Discretion in handling confidential financial and HR data.

 

Preferred:

  • Background in renewable energy, startups, or Indigenous-led organizations.
  • Familiarity with BC labour laws, payroll systems (e.g., ADP, Ceridian).
  • Interest in sustainability and clean energy.
  • MBA

Reporting Structure

The Executive Specialist reports to all C-level members and indirectly to the board with a direct reporting line to the CEO.
